When Email Is the Right Choice
Email is the better channel any time the answer matters more than the speed. Four situations come up constantly. First, when you want a written record. If you are comparing agencies or making a decision with a partner, having the answer in writing beats trying to remember what someone said on a call. Second, when you have files to send. Reports from a previous agency, a contract you want reviewed, screenshots of a problem, or analytics exports all move better through email. Third, when you are gathering information across a few weeks. Email lets you ask, get an answer, think about it, and come back without scheduling anything. Fourth, when your day makes phone calls hard. Contractors on job sites, dentists between patients, and anyone who cannot take a call between eight and five all find email easier. None of that makes email a slower lane. The one business day standard is the same, and the person answering is the same. Pick whichever channel fits how you work.
Response Standards
Every email gets a written reply from a person within one business day. Most get answered within a few hours during business hours. A message sent Friday at four in the afternoon gets a real reply Monday morning, not Thursday of the following week. Business hours are seven days a week, 10:00 AM to 6:00 PM Pacific. Messages arriving overnight or over a weekend go to the front of the queue the next morning rather than sitting behind whatever comes in that day. If your question needs research before anyone can answer it honestly, you hear that within the same business day, along with a date for the full answer. What you will not get is silence while somebody digs. Going quiet for four days and then sending a thorough answer is worse service than a two line note that says we are working on it and will have it Thursday. Requests with real work behind them run on their own clocks. A visibility audit takes three to five business days. A custom proposal takes two to five business days.
What to Put in Your First Email
A single sentence gets a reply. A short paragraph gets a much better one. The most useful first email tells us what your business does, where it operates, what is not working, and what you have already tried. With those four pieces we can look at your Google profile and your site before responding, which means the first reply contains an actual opinion instead of a request to schedule a discovery call. Be specific about the problem. Business is slow gives us nothing to work with. Our Google calls dropped from twenty a month to six after a franchise opened nearby tells us exactly where to look first. Numbers help even when they are rough estimates. Say how you want to be contacted back. If you would rather not get a phone call, say so and you will not get one. If you want a call, include the hours that work. Nobody has to guess, and you never have to dodge an agency that keeps dialing.

Attachments and Account Access
Send attachments freely. Reports from a previous provider, contracts you want a second opinion on, screenshots of an error, spreadsheets of keywords, or exports from your analytics all help. Standard formats work fine. If a file is too large for email, send a shared link instead and we will download it. Never email credentials. If we need access to something, we will ask you to grant it the proper way, which means adding an email address as a user inside Google Business Profile, Search Console, Google Ads, or your website admin. That approach means you can see exactly what level of access was granted and revoke it in two clicks whenever you want. It also means no password is sitting in an inbox somewhere. For free work like a visibility audit, view only access is enough. View only lets us read your data and change nothing at all. Any provider asking for full administrative control before doing free work is worth a second thought, and that includes us if we ever slip and ask.
How We Handle Your Information
Your email address is used to answer your question and follow up on it. That is the whole purpose. We do not sell contact information, rent lists, or hand your details to a partner company in exchange for a referral fee. Nobody unrelated is going to email you because you wrote to us. Sending us a message does not add you to a marketing list. If you want our emails, you opt in somewhere else, on purpose, and you can leave with one click. If you go quiet on a conversation, we follow up once, maybe twice, and then stop. There is no sequence running in the background. Business documents you send us, like reports or contracts from another provider, stay confidential. We are not going to reference another agency's work by name or share what you sent with anyone.
