Our Process, Step by Step

You should know exactly what happens after you sign, week by week. This page lays out the five phases, the first 90 days, and who is responsible for what.

Call (714) 823-3164 or ask a question. Clear recommendations, even if we never work together.

Our process runs in five phases: discovery, strategy, execution, optimization, and reporting. Discovery and strategy take about three weeks. Execution starts in month one, and optimization is ongoing from month two. Reporting arrives monthly with a scheduled call. Timelines vary by service, and we quote them as ranges before work starts.

Phase One and Two: Discovery and Strategy

Discovery runs the first one to two weeks and is mostly us gathering facts rather than asking you to. We pull your Google Business Profile performance data, Search Console history, analytics, and current ad account if one exists. We run a geogrid scan to see where you actually rank across your service area rather than from your own address. We audit your website for speed, mobile behavior, indexing problems, and broken conversion paths. We check your listings for name, address, and phone consistency across the major data sources. We review your reviews, including how recent they are and how you have responded. We also look at the three to five competitors who currently take the calls you want. Then we talk to you, once, for about an hour. Which jobs are most profitable, which ones you would rather stop taking, how many calls you can absorb, and what your slow months look like. Strategy is week two to three. You get a written plan naming the target services and cities, the sequence of work, the metrics we will report, and the range we expect for first movement.

Phase Three: Execution

Execution starts as soon as the plan is approved, and it begins with whatever is both fast and valuable. Usually that means fixing conversion leaks: a form that does not deliver, a phone number that is not clickable on mobile, a page that takes eight seconds to load, hours that are wrong on your profile. These are done in days and they change results immediately. Next come foundation corrections. Profile categories, services, and descriptions get rebuilt. Duplicate or incorrect listings get suppressed or fixed. Call tracking gets installed so every future lead has a traceable source. Then the build work begins: service pages, city pages, technical fixes, the review request system, and ad campaigns if paid search is part of the plan. Bigger items like a website rebuild run on their own track alongside this, since they take longer and depend on content and photos from your side. Throughout execution you get a short weekly update in writing telling you what shipped, what is in progress, and anything we need from you. No status meeting required unless you want one.

Phase Four and Five: Optimization and Reporting

Optimization becomes continuous once enough data exists to act on, usually around month two. This is where we stop guessing and start following evidence. Ad groups that produce calls get more budget, ones that burn money get paused. City pages that gain traction get expanded, ones that stall get diagnosed or dropped. Landing pages get tested against each other. Call recordings tell us which keywords bring qualified buyers and which bring price shoppers, which then changes what we target. Reporting arrives monthly, on a schedule you can predict, and opens with the numbers that matter: tracked calls, form fills, and where they came from. Under that sits the supporting detail, including geogrid map positions, organic visibility, ad performance, review growth, and the process work completed that month. Then we get on a call and talk about it. The call covers what moved, what did not, what we are changing, and any decision we need from you. It has an agenda and it ends on time. If something is off track, you hear it in that meeting rather than discovering it later.

Your First 30, 60, and 90 Days

The first quarter has a predictable shape, and knowing it in advance keeps everyone honest. Month one is about facts and fixes: the audit is complete, tracking is live, and the fastest conversion problems are already solved. Month two is where the build work becomes visible and the first data starts arriving. Month three is where patterns emerge and the plan gets its first real adjustment. Not everything moves at the same speed. Paid search can produce calls in the first two weeks. Local search rankings usually show first movement between day 60 and day 90. A website rebuild may not launch until the end of this window. That is why the report separates fast channels from slow ones instead of blending them into a single number that hides what is happening.

  • Days 1 to 30: audit complete, call tracking installed, conversion leaks fixed, Google Business Profile corrected, listings cleanup started, ads live if paid search is in scope
  • Days 31 to 60: core service pages built or rewritten, technical fixes shipped, review request system running, first month of tracked call data reviewed on a call
  • Days 61 to 90: city page rollout underway, first ranking movement typically visible in geogrid data, ad campaigns optimized on real conversion data, plan adjusted based on what the first 60 days showed

Realistic Timelines by Service

Different work pays off on different schedules, and mixing them together creates false disappointment. A client who expects ad speed from a content program will be unhappy in month three even when the program is on track. So here are the ranges we quote before starting anything. These are based on how the channels actually behave, not promises, and several variables move them. A crowded trade, a wide service area, a brand new business with no history, or a site carrying years of technical debt all push timelines toward the longer end. A single target city, an established business with existing reviews, and a healthy website pull them shorter. We tell you which end you are on during strategy, and we tell you again if something during execution changes that estimate. What we do not do is quote the best case, collect the first three payments, and hope you forget the conversation by month five.

  • Local SEO: first ranking movement in 60 to 90 days, meaningful lead volume change in 4 to 6 months, competitive markets 9 to 12 months
  • Google Business Profile optimization: profile corrections within 2 weeks, ranking effects across 30 to 90 days
  • Reputation management: first new reviews within 2 to 4 weeks, visible rating change in 60 to 120 days depending on volume
  • Google Ads: campaigns live in 2 to 3 weeks, cost per lead usually stabilizes in month 2 or 3
  • Web design: 6 to 12 weeks depending on page count and how fast content and photos arrive
  • Content programs: 4 to 8 months before organic content becomes a steady lead source
  • Technical SEO: fixes shipped in 2 to 6 weeks, indexing and ranking effects over the following 30 to 60 days

What We Handle and What You Handle

Projects stall when responsibilities are vague, so we make them explicit at the start. We handle the marketing work end to end: the audit, the strategy, the writing, the technical implementation, the profile and listing management, the ad management, the tracking setup, and the reporting. You do not need to learn any of it. What we need from you is limited but genuinely required. We need access to your accounts, which we walk you through granting. We need roughly one hour a month for the review call. We need timely answers on approvals, usually within a few business days, because a page sitting in review for three weeks delays everything behind it. We need real photos of your team, trucks, and completed work, since stock images hurt conversion and local trust. We need you to answer the phone and follow up on form submissions quickly, because that is the part no agency can do for you. And we need honesty about capacity, so we do not push volume you cannot serve. Nothing on that list should take more than an hour or two of your month.

  • We handle: audit, strategy, content, technical work, profile and listings, ads, tracking, reporting
  • You provide: account access, approvals within a few business days, real photos, and honest capacity limits
  • You own: the website, the Google profile, the ad accounts, the tracking data, and the content
  • Shared: lead follow up quality, since fast response is what turns calls into jobs

How Communication and Reporting Work

You get a short written update every week telling you what shipped, what is in progress, and what we need from you. It takes two minutes to read. You get a full report every month with tracked calls and form fills first, then the supporting metrics and the process work completed. You get one scheduled call each month, usually 30 to 45 minutes, with an agenda sent ahead so nobody is improvising. Between those, you can reach us by phone at (714) 823-3164 or email at terrysr@online-website-marketing.com during business hours, seven days a week, 10:00 AM to 6:00 PM. Normal replies come the same business day. Anything urgent, like a suspended Google profile or a site outage, gets handled immediately and you hear from us before you have to ask. There is one more rule we hold to: bad news travels first and fast. If a campaign is underperforming, if a ranking dropped, if we made a mistake, you learn it from us with a plan attached rather than finding it buried in a report. That policy has cost us comfortable conversations and saved several relationships.

Frequently asked questions

How soon after signing does work actually start?

Discovery begins within a few business days of getting account access. The first fixes usually ship in week one or two, because conversion leaks are fast to repair. You do not wait a month for a kickoff deck. The written strategy arrives around week two to three, and execution follows immediately after you approve it.

How much of my time will this take?

About one to two hours a month once onboarding is done. That is one review call plus approvals. Onboarding takes a bit more, usually one hour long discovery conversation and some time granting account access. The heaviest ask is photos, and even that is a one time push at the start.

What if I do not have Google Analytics or Search Console set up?

That is common and it is fine. We set them up during discovery, along with call tracking and conversion tracking. Missing historical data means we have less to compare against early on, so the baseline starts from the day tracking goes live. Everything we set up is created in accounts you own.

What happens if we miss the timeline you quoted?

You hear about it on the monthly call, with the reason and the revised range. Sometimes the cause is on our side and we say so. Sometimes it is delayed approvals, missing photos, or a competitor investing heavily. Either way you get the honest version rather than a report that quietly moves the goalposts.

Can I pause or change the plan mid engagement?

Yes, and clients do. Seasonality, capacity changes, and cash flow are real. Pausing paid ads is simple. Pausing ongoing search work is possible, but understand that rankings drift as competitors keep publishing and collecting reviews, so restarting is rarely instant. We will tell you what pausing likely costs before you decide.

Who will I actually be talking to?

The people doing your work. We stay small so there is no layer of account managers relaying questions to a production team. That means faster answers and fewer things lost in translation. You get one point of contact who knows your account and can speak to the details without checking with someone else first.
